This Cancellation & Refund Policy outlines the procedures, conditions, and potential fees involved when you need to cancel or modify your booking. As an intermediary, Mysmartflights will assist you with cancellations, but refunds and penalties are subject to the individual policies of these third-party suppliers.

2. Cancellation Fees

Depending on the timing of your cancellation and the policies of the service providers, cancellation fees may apply. These fees can include:

  • Airline Tickets: Airline tickets are generally non-refundable. In some cases, a partial refund may be available for refundable tickets, but this is subject to the airline’s terms. Many budget or low- cost airlines offer non-refundable tickets or impose high cancellation fees.

  • Hotel Reservations: Hotel bookings may be subject to cancellation fees. Many hotels offer refundable rates, which allow cancellation without penalty within a specific window (usually 24- 48 hours before check-in). Non-refundable bookings typically do not offer any refund./

  • Tour Packages & Excursions: Tour bookings are subject to the operator’s cancellation policies. These policies often involve a fee if canceled outside of the allowed cancellation window (typically between 7-30 days before the tour date). Cancellations made within the specified window may result in full charges.

  • Car Rentals: Car rental cancellations are typically allowed up to 24 hours before pickup without penalty. Cancellations made after this period may incur a fee, or the full booking amount may be forfeited, depending on the rental agency’s policy.

3. Refunds

Refund eligibility and processing depend on the supplier’s cancellation and refund policy. If you are entitled to a refund, it will be processed according to the supplier’s terms and may take 7-21 business days to be reflected on your original payment method. Refunds are generally issued to the original form of payment (credit card, debit card, etc.).

  • Refund Processing Fees: Please note that some service providers charge processing fees, which will be deducted from your refund. These fees vary by provider and are non-refundable.

4. Non-Refundable Items

Certain services and items are non-refundable, including but not limited to:

  • Non-refundable airline tickets

  • Non-refundable hotel rates

  • Travel insurance (if purchased separately)

  • Fees for services such as visas, change fees, or certain excursion bookings

  • Certain special promotions or discounted rates that are non-refundable by nature

5. How to Request a Cancellation or Refund

  • Your booking reference number

  • The name of the traveler

  • The service you wish to cancel

  • Reason for cancellation (if applicable)

We will process your cancellation request and work with the respective suppliers to facilitate the refund. Please allow up to [number of days] for us to confirm the cancellation and initiate the refund process.

6. Changes to Your Booking

Changes to a confirmed booking, such as altering travel dates, changing the name of the traveler, or modifying the destination, are subject to availability and the policies of the relevant service provider. Please note that:

  • Changes may incur fees depending on the supplier’s policies.

  • Certain services, such as airline tickets, may have limited flexibility or charge high fees for changes.

  • We recommend you contact us as soon as possible if you need to make any modifications to avoid additional charges.

7. Force Majeure & Travel Disruptions

In the event of travel disruptions or cancellations caused by unforeseen circumstances (e.g., weather events, natural disasters, strikes, or government regulations), we will work with you to find alternative arrangements. However, we are not responsible for delays or cancellations due to external events outside our control.

Refunds for such situations depend on the terms of the suppliers involved, and we may assist in facilitating claims where possible.

8. Special Circumstances

  • Travel Insurance : We strongly recommend purchasing travel insurance to protect yourself from unexpected cancellations or trip interruptions. Travel insurance may cover non-refundable cancellation fees in the event of certain emergencies (e.g., medical issues, family emergencies).
